Terms and Conditions

In order to avoid any confusion, our valued clients are requested to read the terms and conditions set by the company before booking their desired packages.  Sending us the booking request means your acceptance in totality of the terms and conditions. Remember the contract between the company and the customer begins when company receives the appropriate non- refundable deposit. So kindly make sure you have gone through all the conditions and policies of the company. The full payment must be received in accordance with the procedure laid down in the following by the tour operators. After the confirmation of your booking you are bound to pay the remaining dues on time in other case the company reserves the right to cancel the booking with consequent loss of deposit and apply scale of cancellation charges as prescribed. Kindly read the following are the terms and conditions which are essential to agree upon.

Passport and Visa Policy:

  • Customer must possess a valid visa for the destination he/she desires to go.

  • Passport must contain the validity period of 6 months at the time of departure. It will be most appropriate to have a passport with validity of 8 months.

  • Consult the embassy before time for the settlement of the issues regarding passport or visa, if any.

  • The submission and receiving of passport is liability of the client. Submit your passport along with two passport size photograph at least 1 month prior to your departure.

  • Take an extra copy of passport for submission in the hotels provided.

  • The procession period comprises of a few weeks and during this period any kind of loss excludes our liability.

  • There is no guarantee for the issuance of visa on time and customers are bound to pay the differences (i.e. increase in the rate of services provided) which will occur during the delayed period of issuance.

  • Keep yourself up to date with the current conditions.

  • Non UK customers will submit all the additional documents as required by the company.

Terms and conditions regarding tickets:

  • Reconfirmation of flight needs to be made 72 hours prior to departure.

  • Deposit amount of tickets is nonrefundable after issuance.

  • Rates are subject to change before the date of issuance.

  • In case of any delay in arrival and departure of flights, company is liable. But can provide alternate, if possible.

  • Travel insurance is necessary to face any unfavorable happening.

  • Reconfirm ticket more than once.

  • Inform the company immediately if any inaccuracy is found on the invoice. If company is not informed timely then no help will be provided regarding any inaccuracy.

  • Carefully read your invoice and other documents.

  • If customer requests for a change in any service, difference will have to be pad, if occurs during the course of time.

Hotel Policy:

  • Hotel rates are subject to change without prior notice.

  • Hotels will be booked as per normal check in/ check out timings in K.S.A ad any special request in this regard or room view must be specified at time of package request.

  • Customer will accept the alternative hotel if the said one is not available for any reason.

Safi Excluded Airlines:

Scheduled Airline Failure Insurance (SAFI) does not cover certain airlines which include Sky Europe, Nordic Airways, Air Comet, Olympic Airlines, Aviacsa, Bellview, My Air, Caribair Airline, Air Jamaica, LAB Airlines, Frontier, Zoom, Air Senegal, Silverjet, Cabo Verde Airline, OZ Jet, Air Nigeria, KD Avia, Ghana Airways and Air Slovakia. Company does not provide any financial security to the passengers traveling through these airlines. If these fail to operate customers cannot blame company. Customers are suggested to avail of travel insurance to get out of such problems.

Deposit Policy:

  • Your deposit will secure the seat only and not the fare.

  • Pay off all the dues on time before difference occurs in the rates.

  • 50% of the grand total will be deposited to confirm the bookings.

Baggage Allowance:

Clients will be subjects to Airline restrictions/limitations on baggage weight/size. All baggage and personal effects are at all times and in all circumstances the responsibility of the customers.

Cancellation and Refund Policy:

Tickets and deposits are non -refundable. In case of change of ticket or flight upon customer’s request the extra charges will be applied. Cancellation regarding any package, flight or service before issuance will cause 50% of deposit fee as administration fee.

Cancellation regarding flight, package or any other service after issuance will cost administration fee as per company or airline policy. Tickets refunding will be directly declared by the airline after consultation with them which will take 48 hours.

Company reserves the right to determine the quantum of refund payable in cash of cancellation or amendment of a tour. Such refund would be based on various factors like number of participants, cancellation policies of suppliers and the decision of the company on the quantum of refund would be final. Such refund will be paid after the process of 30 to 40 days.

Also any unused portion of package will be nonrefundable.

Complaints:

Any kind of dissatisfaction or any complain regarding any service provided by HajjandUmrahexperts will be resolved immediately when received from the clients. You are intimated to register your complaints within 21 days of the event or within 7 days after returning from your pilgrimage. We are not liable to take into account any complain received after the said period. Contact us on our toll free No or through E- mail given on the website in order to record your complaints.

Check In Time:

It will be very much favourable for you to check in at airport before 3 hours for international and 2 hours for domestic flights. Usually, check in is closed 1 hour before your departure. Manage your timings to get to the airport by keeping in mind these schedules. This is done due to certain security reasons.

Meal Request:

Fulfillment of meal request depends on the policy of the concerned airline. If you want to make a meal request then in this regard all we can do is to send your request to the airline. We take no guarantee for this service.

English Law:

It is imperative for both the company and the customer to abide by the English law and jurisdiction when deal is made regarding travel arrangements and accommodations. Similarly, Saudi law will be followed for the matters which will be dealt in Saudi Arabia. During the pilgrimage clients will observe the native country. Company is free from taking your responsibility in case of any violation or disobedience regarding local customs or laws.

Non- Muslims Name:

It is compulsory for those customers who are having a non-Muslim name to submit visa application along with a certificate issued from a Masjid or Islamic Center which will confirm that the said person is Muslim.

Mehram Regulations Applies:

It is a religious condition that women and children are supposed to attend the pilgrimage with husband/father or any other male relative (Mehram only). For this female applicant will submit a marriage certificate. Birth certificate will be required for the child. Also they have to travel in the same flight. A woman can go alone with an organized group only if she is above 45 years of age and can provide a notarized NOC from her Mehram.

Non- UK National:

A valid residency permit is required from those applicants who are non UK National i.e not the National of the country they are applying from.

Emergency Contact:

Before setting on to the holy journey travellers will be provided a contact number for Saudi Arabia to use in case of any emergency or trouble.

Subject to Availability:

All parts of your deal are subject to availability and Terms and Conditions will apply. Company reserves the right to decline to register service at any time without assigning any reason whatsoever or prior notice. In case of non-availability of any service that was included in your deal, a substitution will be provided by the company to meet your need.

Travel Insurance:

It is highly recommended to get arrangements regarding Travel Insurance before time.

Health and Vaccination:

Make sure that you have done with all the necessary vaccination before travelling to Saudi Arabia. This is an essential step on your part to submit a certificate of vaccination.

Your Financial Protection:

All the flights and air holidays managed by the Civil Aviation Authority are financially secured by ATOL Certification. It is mandatory for the tour operators trading in UK to get certified by an authority known as ATOL. You can get our ATOL number by calling our agent on our toll free number, in case you need to verify our certification. You can also verify this on the website of www.caa.co.uk/ATOL. Our company will be mentioned in the list of licensed travelling agencies. An ATOL certificate is provided to the customer who buys a flight which is protected by ATOL. This will save you and provide you a financial protection against any uncertain condition.

Your ATOL Certificate holds the name of company/dealer and supplier which will deliver you the services listed on your certificate. If neither company nor the supplier mentioned are able to do the needful an alternative ATOL holder will provide you the services you bought or a substitute of them and this will be done without imposing any extra charges. You agree to accept that in such inappropriate situation. Alternative ATOL holder will fulfill your pre decided requirements and in return you are bound to pay the remaining deposit under your agreement to that alternative ATOL holder. Moreover, you also agree that if it is not possible to appoint any alternate ATOL holder, you will be allowed to make claim under the ATOL scheme.

If the company or the supplier mentioned on your ATOL certificate fail to provide the services itemized (or an appropriate replacement, through an alternative ATOL holder or otherwise) for reasons of insolvency, the Trustees of the Air Travel Trust may make a payment to ( or grant a benefit) you under the ATOL arrangement or scheme. You agree that in this return you assign absolutely to those Trustees any claims relating to non- provision of the services or claim regarding company. You also agree that such claims will be reallocated to alternative body, if the same has paid sums you have claimed under the ATOL scheme.

It is most important to note that all private baggage including valuables carried along during the journey will not be protected by the company and relates to the proprietors. Possessor cannot claim the company in case of loss of such valuable. Also the customer must possess visa, passport, tickets and other documents essential for travelling if not company will not be held responsible for the consequent loss.

During the observance of Hajj and Umrah heap of travellers and pilgrims are spotted at KSA from all over the world, therefore, prevailing viral and airborne disease may cause you some health problems. Due to this fact customers are forewarned to take care of their health and not to make objection against the agency in case of occurrence of any ailment. A travel insurance will proved to be very much helpful in such scenario.

Hotels’ standard and star rating are in accordance with the standards of Saudi Arabia. Unanticipated is the norm during Hajj and Umrah. You must be completely aware of the fact that Hajj and Umrah are gigantic events and therefore, at times plenty of preparations are not even sufficient.
